The IND wants more documents: working through the request

You are waiting for a residence decision when an IND envelope arrives. Inside is a list of payslips, contracts or documents you thought you had already sent. An additional document request does not by itself mean your application has been refused. The IND needs information to assess your case. Start with the exact documents, the periods they must cover and the deadline.

Turn the letter into a checklist

Look for aanvullende informatieadditional information, bewijsstukkensupporting documents or herstel verzuimremedying missing information in a case. Give each requested item its own line and note who must provide it and whether it is ready. If several months of payslips are requested, the latest payslip alone may not answer the request. Check required signatures and pages too.

If you sent it before

Open the file you actually submitted. A page may be missing, a scan may be unreadable or the new request may concern another period. If it remains unclear, contact the person named in the letter. Give the submission date, channel and case number rather than just saying you already sent it. Keep the delivery evidence ready.

Send it to the correct case

The IND provides document uploading while a procedure is ongoing. The zaaknummercase number is in the ontvangstbevestigingacknowledgement of receipt acknowledging your application. Do not confuse it with the V-nummerforeign national number. IND

Follow the letter’s submission instructions. The route can differ for applicants, sponsors, employers and lawyers. The IND lists uploading, secure email and postal options. Give files clear names including the document type and period, open them to check legibility, and follow the upload screen’s file limits. Save the final confirmation; selecting a file is not necessarily the last step. IND

Ask before the deadline if a document is delayed

The IND advises contacting your case officer when you cannot supply a document in time. Explain what is missing, why and when you expect it. An extension request is not an approved extension: confirm the reply and any new deadline. IND

Here is a draft we prepared:

Geachte heer/mevrouw,

In uw brief van [datum] vraagt u om [document] voor zaaknummercase number [zaaknummercase number]. Ik heb dit document op [datum aanvraag document] aangevraagd bij [instantie]. Naar verwachting ontvang ik het op [verwachte datum]. Daarom verzoek ik om uitstelextension or postponement tot [gevraagde datum]. Graag ontvang ik uw reactie op dit verzoek.

Met vriendelijke groet, [naam]

It explains when you requested the document and asks for extra time until a stated date. If you cannot estimate delivery, say so rather than inventing a date.

Keep the IND letter, final submitted files, delivery confirmation and any extension approval together. If a lawyer handles your application, forward the letter and agree who will respond. For uncertainty about your residence rights or procedural deadlines, contact the IND or a qualified legal adviser.
